Description

An exciting opportunity for an enthusiastic individual, with experience of coordinating events within a venue in a corporate / commercial environment. You will be joining a strong and motivated team, delivering events of the highest standard in this world-class, historic London venue. The team manage some 500 events each year, ranging from high profile corporate events and award ceremonies to large charity fundraisers and concerts.

The successful candidate will have excellent administrative and communication skills, the confidence and ability to deputise for the head of team and will be ready to assume line management responsibility.

Responsibilities:

  • Managing the bookings diary, maximising the commercial use of the venue
  • Acting as the main point of contact for client enquiries and promoting the hire of the venue for events
  • Working with Business Development to identify business opportunities and to convert enquiries to bookings
  • Leading on the planning and management of high profile events from confirmation to delivery
  • Representing the events team at internal and external meetings, liaising with contacts at all levels
  • Developing effective procedures for event coordination and the highest standards of client management
  • Managing all event paperwork, including terms and conditions of hire, contracts, payments and risk assessments
  • Monitoring events-related services and facilities in the venue to ensure high standards of presentation and maintenance are met
  • Acting as line manager for team administrator including performance management and development

Requirements:

  • Previous experience of organising events in a high-quality venue and of working with a venue diary in a corporate/ commercial environment
  • Experience of contributing to the sales and marketing of a commercial venue
  • High standard of English, both written and oral
  • Strong organisation and planning skills with excellent attention to detail
  • Excellent communication skills with the ability to develop positive working relationships
  • Experience of the administration of financial systems and processes
  • Ability to multi-task effectively and to remain calm and adaptable under pressure
  • Proven commitment to providing the highest level of customer service
  • A dedicated, reliable and conscientious team player
  • High level of proficiency in IT systems particularly Microsoft Office
  • Smart professional appearance
