Description

This is a rare and exciting opportunity to join a prestigious, global investment bank at management level. Based at the London HQ in the heart of Mayfair, you will use your experience and corporate knowledge to lead, manage and develop the administrative team of Executive Assistants and support staff across a key business area.

You will be an influential member of the management team in a rather unique culture which successfully combines tradition with an entrepreneurial approach.

  • Day to day management of Executive Assistants – acting as first point of contact for all EAs
  • Monitoring EA allocations to meet changing business needs, developing relationships with Investment professionals and understanding their individual requirements
  • Coordinating the on-going development of each EA, organising regular individual meetings to ensure best practice and promoting teamwork
  • Maintain an “open door” policy at all times to encourage lines of communication
  • Managing any disciplinary or performance issues in collaboration with HR
  • Evaluating new and existing models of support and making recommendations for change as required
  • Working with HR to plan, budget and organise all recruitment of support staff, on-boarding and induction training
  • Own and drive annual performance review process, working with EA Managers and Human Resources, ensuring high quality feedback
  • Manage interim and probation reviews
  • Work with HR on benchmarking and tracking market rates, salary structures; making recommendations
  • Working with EAs and their Managers to develop annual objectives and career development goals; identifying training and development needs
  • Encourage initiatives to enhance a strong ‘team’ culture of collaboration
  • Liaising with firm-wide management team to implement and drive strategic change and projects as appropriate
  • Arrange team building meetings and EA social events
  • Budgets and headcount planning, ownership of expenses process and approvals
  • Special Projects

Requirements:

  • Previous experience of managing an EA/Secretarial team, ideally gained from Financial/Professional Services firm
  • Evidence of leadership, people management and people development
  • Strong decision maker
  • Excellent relationship building skills at all levels
  • Emotionally intelligent and approachable
  • Proactive and solution driven
  • Discreet and able to problem-solve
